Finding Things

The last area we will look at in this user guide is how to find things.  One of the trade-offs of having your data organized into projects is that the act of categorization can sometimes make it difficult to know what's changed.  Fortunately, CompleteProject is built with special views which help extract data from projects and show you exactly what's going on.

For example, let's collapse all of our projects so that our project view just shows two folders as shown in figure 1 below.

Figure 1 - Collapsed Project View

Now, say we were to send a reply to that e-mail message we sent earlier. If we were to re-synchronize we can see that the project view hasn't actually changed to show us that we have received a new e-mail message.

In order to get around problems like this we have created the "Activity" tab.  If we click on the activity tab now we can see the e-mail message that was just sent.

Figure 2 - All Project Email View

Notice that on the left side of the application CompleteProject has a message telling us that we have an unread comment.  On the right side we can see a list of all e-mail messages received by CompleteProject. So the "All Project Email" activity view is working the same way as our inbox in that it gives us a linear view of our e-mail messages in the order they were received.  Of course, these e-mail messages are still being sent directly to a task or project and are therefore automatically being put into the correct context.

Next, let's click on the "All Activity" view.

The "All Activity" view gives us a list of all the activity that has happened in the application categorized by date. Using the "All Activity" view we can see what's changed, who changed it and how it changed.  This is a great way to keep track of what's happening across all of your projects.

The last tool we want to mention this probably the best tool for finding things - search.

Figure 4 - Search

CompleteProject has a complete search engine built in and it's pretty easy to use. Just enter some text describing what you are looking for into the search box and press return. All search results are instant.

CompleteProject divides search results into two types: tasks and file results. The two types of search results are divided into the two columns shown. This makes it a bit easier to quickly find what you're looking for.

With CompleteProject search you can also filter your results by project. This is helpful if you have a lot of data and know roughly where to find what you're looking for. The CompleteProject project search filter is shown in figure 5 below.

We have covered a lot of ground in this user guide but there's still so much more to discover. CompleteProject is a tool and you will need to play with it a bit in order to make it work best for you. So click around!  If you need help with anything or if something is not as intuitive as it could be then please let us know.  We are always looking for customer feedback and are happy to help.
